Hotel PMS Features: Everything Biodux PMS does, on one page.

This is the full list, module by module. If you’re comparing hotel systems, print it and tick off what your current one can’t do. 58 features in 8 areas.

Reservations

Know exactly what you can sell before the phone stops ringing.

More about reservations
  • Bookings with deposits

Room type, rate, agent or company, adults and children, purpose of visit and the deposit with its receipt number. Print a reservation card for the guest.

  • Density chart and room rack

A grid of every room for every day, coloured for vacant, occupied, reserved, out of order and checked out. You pick the colours. F2 opens it from anywhere.

  • Availability at a glance

Yesterday, today, tomorrow or any date range, filtered by floor and room type, with a count of each status.

  • Cancellations done properly

Refund the deposit in full or in part, keep it as a cancellation fee, or hold it as credit for the guest’s next stay.

  • Groups and events

Link a group’s rooms to one group account and move their charges across at checkout. Halls and event spaces are booked from the same screen.

  • Agents and corporate rates

Travel agents and companies carry their own room discount, plus a separate discount at your restaurant and bar.

  • Arrivals and no-shows

Reservation list, arrived, expected, cancelled and no-show reports, so the morning shift knows who’s coming.

  • Website bookings drop straight in

With the Biodux Booking Engine, rooms booked on your own website appear here without anyone retyping them.

Front desk

A front desk that doesn’t need a notebook beside the computer.

More about front desk
  • Guest profiles

Contact details, company, credit limit, bed-and-breakfast and charge-to-room flags, passport details and a blacklist flag. Check in or reserve straight from the profile (F5).

  • Check-in and walk-ins

Check in from a reservation or as a walk-in, with half-day stays, a multi-currency estimate and VAT and service charge shown up front.

  • Registration card

Print the GR card for the guest to sign, with your hotel’s name, logo and details from the licence.

  • Room moves

Move a guest with the reason and the room’s condition noted. If you use key cards, the door lock is updated too.

  • Clean checkouts

Close the bill, or move the balance to the city ledger, the guest’s company or their group. Cancels the key card on the way out.

  • No selling dirty rooms

Receptionists are warned before checking anyone into a room housekeeping hasn’t released, and any override is logged.

  • House lists

In-house guests by individual or company, the breakfast list with covers per room, departures, overdue guests and the luggage report.

  • Account notes

Print polite letters asking in-house guests to settle their balance by noon.

  • Guest search and history

Find anyone by name, company, phone, email or stay dates. See past stays and your top-spending guests, and export contacts for your own marketing.

Guest ID & passport scanning

Scan the passport once. Find it in seconds when someone asks.

More about guest id & passport scanning
  • Every type of ID

Passport, national ID, visa, driver’s licence, residence permit or anything else. Several documents per guest, front and back, with one marked as primary.

  • Scan straight in

Scan the front, or front and back, from a document scanner attached to the PC, or load an image file. Images are resized automatically so they don’t clog your storage.

  • Passport strip read for you

Biodux reads the two lines at the bottom of a passport, checks the check digits, and fills in name, number, nationality, sex, date of birth and expiry.

  • Warnings at check-in

If a guest has no ID on file, or theirs has expired or is about to, the receptionist is told before the key is handed over.

  • Expiry and immigration report

See which documents on file are expired or expiring, and pull the in-house immigration extract with an export for the authorities.

  • Every look is logged

Adding, viewing, editing and deleting an ID document all go on the activity trail with the user and time, because these are sensitive records.

  • Stored safely

Images go to a shared folder on your network, with a local fallback that catches up automatically if the share is briefly unavailable.

  • Verified against the holder

Tick that the receptionist checked the document against the person standing at the desk, so you know it wasn’t just a photocopy.

Billing & city ledger

Every charge on the right bill, and every company account up to date.

More about billing & city ledger
  • One folio per guest

Post charges (F4), deposits, refunds, discounts and tips. Room, restaurant, bar and laundry charges all land on the same bill.

  • Extra bills

Move drinks, laundry and other extras to a separate bill when a company is only paying for the room.

  • Transfers between bills

Move charges between guests, to the city ledger, or back from history and reservations, with a record of every move.

  • Corporate master bills

Detail, summary and summary II layouts for companies that want one invoice covering all their guests.

  • City ledger

Credit accounts for companies and agents (F9), with customer and loyalty ledgers, balance brought forward and balances as at any date.

  • VAT, service charge and more

VAT, service charge and a third tax, each inclusive or exclusive. You can hide tax lines on the guest’s bill if you prefer.

  • Naira and foreign currency

Naira is the base currency, with rates for dollars, pounds and euros. Print bills in one currency or two side by side, with your bank details on them.

  • Receipts and vouchers

A receipt book and payment vouchers for cash, cheque and bank, with deposit and refund slips printed for the guest.

  • Rules that stop leaks

Lock discounts, force billing on entry and control back-dating. Deleted transactions are kept and reported, not erased.

Housekeeping

Front desk and housekeeping finally looking at the same rooms.

More about housekeeping
  • Housekeeping board

Every room by floor and room type, marked in house, due out, reserved or out of order.

  • Your own status codes

Clean, inspected, dirty, pick-up and out of service to start, or add your own. Each code has its colours and rules for whether the room can be sold.

  • Inspection when you want it

Turn on “require inspection” and a room isn’t sellable until a supervisor has checked it.

  • A history of every change

Who changed a room’s status, when, and from where: the board, a checkout, night audit or a manual change.

  • Night audit resets the board

Occupied rooms are marked dirty overnight, so housekeeping starts each morning from the right list.

  • Out of order periods

Take a room out of order with dates, a reference and a remark. It drops off availability and shows on the out of order list.

  • Room status reports

Print the housekeeping status (F8) and the out of order report for the morning briefing.

Night audit & reports

Close the day in minutes, and know how the hotel did by breakfast.

More about night audit & reports
  • Charge all guests in one run

Room charges for every in-house guest after your billing time, once per day. Double billing is blocked and frozen accounts are skipped.

  • Night Auditor’s Report

Rooms available and occupied by room type, with rate, revenue, average rate and RevPAR.

  • Manager’s Flash Report

Occupancy, ADR, RevPAR, revenue from rooms, food and drink, laundry, telephone and other, guest movement and ledger position, for today, month to date and year to date, with variances.

  • Cash and audit reports

Cash log by cashier, department and payment method. Posted, valid and deleted transactions. Deposits, refunds and discounts.

  • Shift reports

Shift detail and summary, so each receptionist hands over with the figures agreed.

  • Sales and room sales

Sales detail and summary, room sales and the financial activity report.

  • PDF and Excel on everything

Every report prints, or exports to PDF or Excel for the owner, the auditors or the bank.

  • User and access reports

Who is logged in and what they did, through the user status and access log reports.

Guest loyalty

Give regulars a reason to book you again, not the hotel down the road.

More about guest loyalty
  • Credit per night

Guests earn credit for each qualifying night, using your loyalty factor and expiry window.

  • Loyalty vouchers

Issue vouchers so guests can spend what they’ve earned against their stay.

  • Loyalty ledger

Every member’s balance, with balance brought forward and balances as at any date.

  • Member discounts at the bar

Members and corporate customers get their own discount automatically in Biodux POS.

Users, rights and audit trail

Control what each person can see and do, and keep a record of it.

  • User groups and rights

Add, update, delete and view rights for about 25 areas, plus audit and management reports, set per user group.

  • Activity trail

Overrides, housekeeping changes, ID document actions and settings changes are recorded with the user and time.

  • Who changed what

Every record keeps who added, updated or deleted it, and when.

  • Access log
