How to choose hotel management software in Nigeria
Short answer: Choose hotel software by testing it against your worst day, not your best. Check that outlets can charge to the room, that corporate billing and the city ledger work, that the night audit is quick, and that the vendor can install, train and support you where you are.

Most hotel owners we meet aren’t short of software offers. They’re short of a way to tell them apart. Every brochure promises reservations, billing and reports. The differences only show up at 11:45 on a Monday when six guests want to check out at once, or at month-end when the city ledger doesn’t agree with the bank.
This guide is the checklist we’d use if we were buying, not selling. Use it with any vendor, including us.
Start with your worst day, not your best
Write down the three situations that cause the most trouble at your hotel today. For most Nigerian hotels they look something like this:
- A guest signs for drinks at the bar and checks out before the docket reaches reception.
- A company stops paying, and nobody notices for two months because the city ledger lives in an exercise book.
- The receptionist sells a room that housekeeping hasn’t cleaned.
Take that list to every demo. Ask the vendor to show you, on screen, how their system prevents each one. If they talk about it instead of showing it, that tells you something.
The questions that matter
1. Can every outlet charge to the room?
In a hotel, the bar, the restaurant, room service, the laundry and sometimes the spa all sell to in-house guests. The question isn’t whether the software “has a POS”. It’s whether a sale at the pool bar lands on the guest’s folio immediately, with the outlet and bill number, without anyone walking a docket across the compound.
2. How does it handle companies?
Corporate guests are a big share of revenue for most Nigerian city hotels, and they’re where the money leaks. Check that you can:
- keep the room on one bill and the extras on another,
- move the room balance to the company’s account at checkout,
- see what each company owes on any date, with balance brought forward,
- print one master bill for a company covering all its guests.
3. How long does the night audit take?
Ask the vendor to run a night audit in front of you. Room charges for every in-house guest should post in one run, the system should refuse to charge anyone twice, and the GM’s report should be ready immediately. If the auditor has to post rooms one by one, you’re buying overtime.
4. What does the GM see in the morning?
You want occupancy, average daily rate (ADR), RevPAR and revenue by department for today, month to date and year to date. If that report needs an Excel export and an hour of work, it won’t get read.
5. Who can delete what?
Ask how voids, deletions and discounts are controlled. Good systems give each user only the rights they need, and keep deleted transactions on a report instead of erasing them. Ask to see the deleted transactions report.
6. Does it connect to what you already have?
List your door locks, hotel TV, Wi-Fi and accounting system. For each one, ask whether the vendor has connected to that exact brand before, at a hotel you can call. “We can integrate with anything” is not an answer.
7. Who installs it and who answers the phone?
Software is only as good as the people who set it up. Ask who will configure your rooms and rates, who trains each department, and what happens when something goes wrong on a Saturday night. Ask for the names of two hotels like yours that you can phone.
What to test in the demo
Bring your own data to the demo, even if it’s just a printed list of room types and rates. Then ask the vendor to do these things live:
- Make a reservation with a deposit for one of your real room types.
- Check in a corporate guest and scan their ID.
- Ring up a bar bill and charge it to that guest’s room.
- Move the guest to another room.
- Check them out, sending the room to the company and leaving the bar bill for the guest to pay.
- Run the night audit and print the manager’s report.
That sequence touches almost everything that matters. It takes about 20 minutes with a system that works.
Mistakes we see hotels make
Buying on price alone. The cheapest option often costs more once you count the revenue it lets slip. A single unpaid corporate account can be worth more than the licence.
Buying software built for another country. Naira as the base currency, VAT and service charge the way Nigerian hotels apply them, and support in your time zone all matter more than a long feature list.
Skipping training. A receptionist who was shown the system once, in a hurry, will find workarounds. Insist on training for each department on its own screens.
Leaving the accountant out. Involve whoever closes your books from the first demo. They’ll ask the questions about the city ledger and bank reconciliation that everyone else forgets.
A simple scoring sheet
Score each vendor from 1 to 5 on these, then add them up:
| Area | What a 5 looks like |
|---|---|
| Charge to room | Every outlet posts to the folio instantly |
| Corporate billing | Split bills, city ledger, master bills |
| Night audit | One run, no double charges, report ready |
| Control | User rights, deleted transactions report, activity trail |
| Integrations | Your exact lock, TV and accounting brands, with references |
| Support | Local team, on-site training, named references |
